Delivering an enhanced incentive experience in Costa Rica

Our client needed to keep their incentive programme experience fresh, exciting and engaging from year-to-year to constantly motivate and reward the 450 highest-performing members of their US team, many of whom attended regularly due to their exceptional performance. After using the same location for five years it was time for a change and we were tasked with the challenge of designing an incentive programme with a real wow factor in Guanacasta, Costa Rica. Prior to changing incentive locations, the logistics and communication planning was repeated with little variation every year. The client was under pressure to live up to the expectations of the old location within a whole new environment. Additionally, there was a new dynamic as the event now combined what had previously been managed as two separate programme rotations into one group. With this change as a catalyst, we embraced the opportunity to create an even more spectacular experience for the attendees.


The new environment brought a new opportunity for a fresh communication plan. Utilising inspiration from the previous year’s logo, we created a cleaner and bolder event theme which referenced elements of the Costa Rican location. Pre-event we sent the attendees a branded car kit which included an air freshener that encouraged them to ‘smell paradise’, a playlist of Spanish phrases to begin learning the language and a phone-mount for them to make their final sales calls safely. With the new location in mind we appointed a bilingual project manager to fly in for a site visit, review contacts and meet local vendors to ensure a successful event. Attendees were invited to experience local culture via a sunset catamaran trip where they enjoyed an evening at a local beach bar, relaxing on comfortable chairs and hammocks, listening to local music. Over the next few days, thrill-seeking attendees set off snorkelling and sailing, horseback-riding along the beaches, hiking up volcanos and zip-lining through the rainforest. Others enjoyed golf, wildlife tours, relaxing with various spa treatments and soaking in hot springs. We arranged gift drops each night for guests, including artisan beach bags, bowls decorated with Costa Rican patterns and local coffee.


Utilising our Spanish-speaking project manager, we ensured the logistics, contract and vendors were all streamlined, expectations for the week were clear and deliverables were hit. By keeping the group together, the client’s entire group had an amazing shared experience that embraced the new location and its culture.
